Privacy Policy
Last updated: July 2026
AI Receptionist (“we,” “us,” or “our”) operates a managed AI front-desk service for local service businesses. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website, dashboard, and the calls and messages handled on behalf of the businesses we serve.
Information we collect
- Contact information you provide when you reach a business we serve — such as your name, phone number, and email — and the details of your request (service needed, location, preferred time).
- Conversation content from calls and text messages, including transcripts and summaries, so the business can follow up.
- Business account information for our clients — the business owner's name, email, and configuration settings.
- Technical data such as timestamps and message delivery status, used to operate and secure the service.
How we use information
- To answer calls and messages, qualify leads, and book appointments on behalf of the business you contacted.
- To send you replies, appointment confirmations, and booking links you requested.
- To notify the business owner of new leads and follow-ups.
- To operate, secure, and improve the service.
SMS / text messaging
We do not sell or share mobile phone numbers or SMS opt-in data with third parties or affiliates for their own marketing or promotional purposes. Text-messaging originator opt-in data and consent are never shared with any third parties for marketing.
- Consent. We only send text messages to people who first contacted a business we serve — by calling or texting the business's phone number. The first message identifies the automated assistant and includes opt-out instructions.
- Message frequency. Message frequency varies based on your interaction with the business.
- Rates. Message and data rates may apply.
- Opt-out. Reply STOP at any time to stop receiving messages. Reply HELP for help. Opt-out requests are honored immediately.
- We may share information with service providers (for example, our telecommunications and messaging vendors) strictly to deliver the service. These providers are contractually limited to that purpose and may not use your information for their own marketing.
How we share information
We share the information you provide with the specific business you contacted, so they can serve your request. We use trusted service providers (such as hosting, telephony, and messaging vendors) to operate the service, under agreements that limit their use of your information. We do not sell your personal information. We may disclose information when required by law.
Data retention
We retain conversation and contact records for as long as needed to provide the service to the business and to meet legal, accounting, or reporting obligations. Opted-out numbers are kept on a suppression list so we can honor your choice.
Your choices
- Reply STOP to any text to opt out of further messages.
- Ask the business to update or delete your contact details.
- Contact us using the details below with any privacy request.
Security
We use reasonable administrative and technical safeguards to protect the information we hold. No method of transmission or storage is completely secure, but we work to protect your information and limit access to it.
Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
